Information for Merchants

-Please follow the procedures for taking a check, mentioned on this website, consistently.

-We do have small posters for your establishment informing Hot Check writers that they will be prosecuted by the District Attorney’s Office. If you would like one of these signs please come to our office and request one from the Hot Check Coordinator.

-Any funds collected as Merchant Fees will be included in your restitution check.

-If you have any questions please contacts our Hot Check Coordinator at (940) 766-8120. He or she will be able to assist you.

Tips to reduce losses from Hot Checks:

  • Make sure the check is dated today. Post-dated/replacement checks should be avoided.
  • Make sure the signature on the check is legible and signed in your presence. For business accounts, you may want to print the signer’s name near the signature.
  • Make sure the address is complete, and home or work phone numbers included.
  • Be sure to confirm the check writer’s identity by comparing a form of photo ID.
  • Make sure the written amount and numerical amount correspond.
  • Record the following information for every check:
    • Driver’s license number (even if pre-printed on the check, it needs to be circled or written out to prove that the clerk compared the pre-printed number with a valid picture ID)
    • Date of birth
    • Initials of clerk accepting the check.

Be suspicious of:

  • Temporary checks
  • Starter (or temporary) checks, or low-numbered checks
  • Department of Public Safety ID cards—(intended for Senior Citizens and Handicapped persons)
  • Expired or out-of-state driver’s licenses
  • Anyone who cannot produce a driver’s license or a photo-ID card with a number that identifies the person presenting the check
  • Any differences between the information on the checks and that on the ID provided
  • Out-of-state or out-of-town checks. To follow through on these checks, we have to depend on persons in the other county to do our work for you.
  • Pre-signed checks—the identity of the person signing cannot be verified.
